The Rutland Community Club met on Tuesday, January 6, 2009, in the Rutland General Store at 7:00 p.m.
Present: Board Members – Hilary Mehrer, Debra Liermark, Bert Siemienewski. Others: Deborah Banish, Kathy Brakke, Carolyn Christensen, Joanne Harris, Doris Hoistad, Ron Narum, Diane Smith and Gretchen Vann.
Minutes: Harris/Brakke moved approval of the minutes of December 2, 2008. Motion carried unanimously.
Treasurer’s Report: Bert reported that the current RCC checkbook balance is $6987.23; savings is $1147.20; CD 1 balance $2730.55; CD 2 $2350.21; CD 3 $11,157.07; CD 5 $4531.34. Total balance is $28,903.60.
Bills paid in the past month include Genesis Gaule for Rutland ND website work ($204.49); checks ($20.00 each) to Alley Cuts, Rutland General Store, and the Lariat for items for Santa Day. The Rutland Cafe donated food for Santa Day at no fee to the RCC. Santa Day bills were paid for the turkeys, candy and other items; there was a loss of $174.29 on Santa Day.
Christensen/Liermark moved/seconded to accept the Treasurer’s Report. Motion carried unanimously.
Old Business
Officers: Bert reported that the Nominating Committee plans to present names for new officers at the next meeting. She also suggested that the bylaws be reviewed and rewritten so that the change in Officers takes place in March or April rather than in January. It was determined that the RCC Executive Committee will review and propose bylaw changes at the next meeting.
Pinochle Tournament: The tournament will be in the Hall the first weekend of February. Work group 4 is organizing the tournament this year. Brakke asked about the furnace and whether it is dependable. Narum said the furnace quit again two days ago but hopefully will be repaired once Calvin can get there.
Angels: Brakke thanked Cliff Carlson for restoring the holiday angels and for Ron Narum for hanging them this holiday season. Ron informed the group that there are stars that need restringing as well. Liermark said maybe those can be done for next year.
Play: Smith said she and Pam Maloney will be directing the play which will be “Laugh-In.” A DVD will be purchased and a skit selected. Some people have already been selected for cast members Arte Johnson, Goldie Hawn, Lily Tomlin and Gary Olson.
City Hall Bids: Brakke said three proposals have been received for the City Hall renovation. The next step is to write grant applications – or to borrow the funds to pay for the project.
Narum noted that building material costs are down and interest rates are good. He asked about getting 501(c)3 status for the RCC.
Smith said that getting 501(c)3 status is a complicated process and requires submission of years of financial data and other supporting documentation. She suggested contacting Stateline to see if they are willing to serve as a pass-through entity. Narum and Mehrer said it has been difficult to reach anyone at Stateline; Narum will attempt to contact an individual at Stateline.
Brakke suggested that a group approach the Bank about the project and a possible loan to the RCC for the renovation. The suggestion was discussed and it was agreed that Carolyn Christensen, Kathleen Brakke and Diane Smith will meet with a loan officer regarding the project to determine if a loan would be a possibility.
New Business
Bingo: Christensen and Smith reported that there was a good turnout at the first Bingo session held last Sunday. Bev Kulzer and Jeanne Leinen provided the bars and Bev handled the concessions. The first session did not generate much of a profit but future sessions may be better.
It was noted that the weather may have been a deterrent and additional publicity would be useful.
Due to the Ole Lee prayer service this coming Sunday, Bingo will not be held. The next Bingo will be Sunday, January 18.
Community Development Corporation: It was noted that the Rutland CDC will be meeting this week and members wondered whether the CDC might be approached for funding toward the City Hall renovation project. It was stated that the CDC purpose is to help start-up and expanding business rather than construction such as City Hall.
New Business
Horizons: Christensen reported that she, Diane Smith and Deborah Banish met with Jodi Bruns in December to update Jodi on the community’s progress and continuation in the Horizons project. Although the formal participation process has ended, Rutland will be in contact with the program for some time to come. There is no guarantee of additional funding but future participation has not been specifically determined.
